When you create an account, enroll in our services, file a claim, submit a contact form, or otherwise interact with us, you may provide:

  • Service Enrollment Data: Carrier account details, 3PL provider information, shipping volume estimates, average order value, and product categories.
  • Claims Data: Transaction or order numbers, descriptions of issues (lost, stolen, damaged, wrong item), photographs of damaged goods, and contact information for claim correspondence.
  • Contact Form Submissions: Name, email, company name, message content, and any other information you choose to include.
  • Payment Information: Billing address and payment method details. Note: payment processing is handled by third-party payment processors; we do not store full credit card numbers on our servers.
  • Communications: Records of correspondence between you and WeTalkShip, including emails, chat messages, and support tickets.

1.2 Information Collected Automatically

When you access our Site or Services, we may automatically collect:

  • Device Information: IP address, browser type and version, operating system, device type, and unique device identifiers.

  • E-commerce Platform Data: Order information, customer details, and shipping data from integrated e-commerce platforms (e.g., Shopify, WooCommerce, BigCommerce) as authorized by you.
  • Authentication Providers: If you use single sign-on (SSO) or OAuth to access our Services, we receive basic profile information from the authentication provider.

3.1 Service Delivery

  • To provide, operate, and maintain our Services, including shipment protection, claims processing, carrier auditing, 3PL accountability auditing, and rate optimization.
  • To process and resolve claims filed through our platform.
  • To generate audit reports, savings analyses, and performance dashboards for enrolled brands.
  • To administer the Consumer Incentive Program and 3PL Certification Program.

3.2 Communication

  • To respond to your inquiries, support requests, and feedback.
  • To send transactional communications, including claim status updates, audit results, and account notifications.
  • To send marketing communications about our Services, promotions, and industry insights (with your consent or as permitted by law).

3.3 Improvement & Analytics

  • To analyze usage patterns and improve the functionality, performance, and user experience of our Site and Services.
  • To develop new features, products, and services.
  • To conduct research and analysis for business planning and operational improvement.

3.4 Security & Compliance

  • To detect, prevent, and address fraud, unauthorized access, and other illegal or harmful activities.

Information Sharing & Disclosure

4.1 With Your Consent

We may share your information when you have given us explicit consent to do so.

4.2 Service Providers

We share information with third-party service providers who perform services on our behalf, including cloud hosting, payment processing, email delivery, analytics, and customer support. These providers are contractually obligated to use your information only for the purposes of providing services to us and to maintain appropriate security measures.

4.3 Carriers & 3PLs

In connection with our auditing, claims, and protection services, we may share relevant shipment and order data with carriers and 3PL providers as necessary to investigate claims, verify billing, and resolve disputes. We share only the minimum information necessary for these purposes.

4.4 Business Partners

If you are a brand enrolled in our Services, we may share aggregated, anonymized performance data with 3PL partners in our network for the purpose of improving service quality and facilitating the 3PL Certification Program. We will not share your individually identifiable business data with other brands or competitors without your consent.

4.5 Legal Requirements

We may disclose your information if required to do so by law, regulation, legal process, or governmental request, or if we believe in good faith that disclosure is necessary to: (a) comply with applicable law; (b) protect the rights, property, or safety of WeTalkShip, our users, or the public; (c) detect, prevent, or address fraud or security issues; or (d) enforce our Terms of Service.

4.6 Business Transfers

In the event of a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will notify you via email and/or a prominent notice on our Site of any change in ownership or uses of your personal information.

Data Retention

We retain your information for as long as necessary to fulfill the purposes for which it was collected, including to satisfy legal, accounting, or reporting requirements. Specific retention periods include:

  • Account Data: Retained for the duration of your account and for a reasonable period thereafter to comply with legal obligations and resolve disputes.
  • Claims Data: Retained for a minimum of three (3) years after claim resolution, or longer as required by applicable law or contractual obligations.
  • Audit Data: Carrier and 3PL audit records are retained for a minimum of three (3) years to support dispute resolution and compliance verification.
  • Usage Data: Aggregated and anonymized usage data may be retained indefinitely for analytics and improvement purposes.
  • Marketing Data: Retained until you opt out of marketing communications or request deletion.

When information is no longer needed, we will securely delete or anonymize it in accordance with our data retention policies.

We implement appropriate technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include:
